Creating and Managing Access Codes

In Summit Evergreen, if you want to sell your course via Groupon or Amazon, or if you want to provide free access, it is necessary for you to use our access codes option. In Summit Evergreen, when you choose the access codes option for a course / tier, it takes the place of a separate payment processor, and as such you will not need to integrate with another payment processor for that course / tier. However, if you’d like to also offer an alternative payment option for this course / tier, you can integrate with a separate payment processor. Below is a quick video to help get you started, and written documentation is below if you prefer to read instead.

Setting Up Access Codes As your Payment Processor

  • In the left navigation menu, select “Settings”, then “Apps”
  • In the left pane, select “Access Code”
  • This will bring up a page in the right pane that allows you to enable access codes

  • Click the “Enable Access Code checkout” box and hit “Save” in the lower right corner – you will then see confirmation that access codes are enabled and a “Manage Access Codes” button – by clicking on this buttin, you’ll be able to import, export, and manage your access codes

  • In the left navigation menu, select “Structure”, then “Tiers”
  • In the left pane, select the tier for which you want to use access codes
  • This will bring up a page in the right pane that provides tier details
  • In this page, in the “Tier Details” section, in the “Payment Processor” dropdown box, select “Access Code”
  • Hit “Save” in the lower right corner

How Groupon and Amazon Utilize Access Codes with Summit Evergreen

Here is how companies like Groupon and Amazon utilize access codes with Summit Evergreen courses:

Here is how it works for students buying the course via Groupon:

  • Your student buys your course from Groupon and receives a link with an access code via email after purchase.
  • Your student clicks the link in the email from Groupon and enters the access code they received  (note: you can get your course registration link by clicking on “Structure”, then “Tiers”, and grabbing the link in the “Checkout Page” column in the “Offers” section).
  • Your student is prompted to register for the course, create a password, and enter their access code.
  • Your student gets instant access to the course.

How to upload the access codes that Groupon has provided to you: 

  • Groupon will supply you with a list of access codes for your course
  • In the left navigation menu, select “Settings”, then “Apps”
  • In the left pane, select “Access Code”
  • In the right pane, click the “Manage Access Codes” button
  • This will bring up a page in the right pane that will allow you to import, export, and manage your access codes
  • In this page, in the “Create Access Codes” box, click the arrow to the immediate right of the box
  • In the dropdown menu that appears, select “Import Codes”

  • This will bring up a “Create new Access Code” box
  • In this box, in the “Offer” dropdown box, select the offer for which you want to import access codes
  • In the “Codes” section, copy / paste the codes provided by Groupon, one code per line (note: you can copy and paste a column from an Excel or CSV file)
  • Enter the “Max Uses” of the codes
  • In the “Expires At” section, enter expiration date, if applicable (this can be left blank if there is no expiration date)
  • Hit “Save”

How to generate access codes for Amazon: 

  • Amazon requires a 14-digit code, but they don’t give you the codes to be used – instead, you provide Amazon with the codes you would like to use.
  • In the left navigation menu, select “Settings”, then “Apps”
  • In the left pane, select “Access Code”
  • In the right pane, click the “Manage Access Codes” button
  • This will bring up a page in the right pane that will allow you to import, export, and manage your access codes
  • In this page, in the “Create Access Codes” box, click the arrow to the immediate right of the box
  • In the dropdown menu that appears, select “Generate Codes for Amazon”

  • This will bring up a “Create new Access Code” box
  • In this box, in the “Offer” dropdown box, select the offer for which you want to generate Amazon access codes
  • In the “Number of Codes” section, enter the number of codes you want to generate
  • Enter the “Max Uses” of the codes
  • In the “Expires At” section, enter expiration date, if applicable (this can be left blank if there is no expiration date)
  • Hit “Save”
  • Note: After you hit “Save”, you will be able to export a CSV file of the generated codes to provide to Amazon

Creating Miscellaneous Access Codes

Sometimes you may want to provide students with free access to your course, or perhaps provide them with access because they did not receive the information they should have from Groupon or Amazon.  With Summit Evergreen you have the ability to create miscellaneous access codes.

To create a miscellaneous access code, do the following:

  • In the left navigation menu, select “Settings”, then “Apps”
  • In the left pane, select “Access Code”
  • In the right pane, click the “Manage Access Codes” button
  • This will bring up a page in the right pane that will allow you to import, export, and manage your access codes
  • In this page, in the “Create Access Codes” box, click the arrow to the immediate right of the box
  • In the dropdown menu that appears, select “Generate Codes”

  • This will bring up a “Create new Access Code” box
  • In this box, in the “Offer” dropdown box, select the offer for which you want to generate access codes
  • In the “Number of Codes” section, enter the number of codes you want to generate
  • Enter the “Max Uses” of the codes
  • In the “Expires At” section, enter expiration date, if applicable (this can be left blank if there is no expiration date)
  • Hit “Save”
  • Once you hit “Save”, you will be able to download a CSV file with your codes, or you can click on the offer to see the codes in the system. Just provide the access code and a registration link to your customer, and that’s it!

Managing and Editing Your Access Codes

After importing or creating your access codes, you can do the following:

  • View the status of any access code
  • View how many access codes have been used
  • Edit any individual access code details
  • Export your access code details

Click the name of the offer to display its individual access codes. You can also edit each access code individually by clicking on it. To download a CSV file with your access code details, click the “Download” link next to the appropriate offer. Access codes are set up at the tier and offer levels, so if you add additional access codes for the same offer and tier, the number of coupons available for that particular offer will increase in the access codes section.
